Build a useful multi-location service inventory

Organize service records by location so renewals, relocations, and upgrades begin with a reliable current-state view.

Give every service a location

Start with a consistent location identifier and the exact address. Associate circuits and services with that record, rather than relying only on invoice account names.

Record the provider, service type, bandwidth, circuit identifier, contract reference, and operational owner. Keep credentials out of shared inventory documents and use an approved secure system for sensitive records.

Questions to take forward

  • Normalize location names and addresses.
  • Associate accounts and circuit identifiers with each site.
  • Record a source and last-verified date for each entry.

Reconcile records before making changes

Invoices, contracts, and technical records can disagree. Mark uncertainty explicitly and verify it with the provider and internal owner instead of treating a missing record as an unused service.

An apparently redundant circuit may support backup, voice, building systems, or a separate team. Validate dependencies before proposing cancellation or consolidation.

Questions to take forward

  • Compare billing, contract, and operational records.
  • Identify the owner and purpose of each service.
  • Flag unresolved items without deleting or cancelling services.

Make the inventory part of the change process

Track term dates and notice requirements from the signed agreement. Schedule internal review early enough to evaluate options and obtain approvals before contractual deadlines.

Assign responsibility for updating the record after activations, upgrades, relocations, and term changes. A useful inventory is a maintained process, not a one-time spreadsheet.

Questions to take forward

  • Record renewal and notice terms with their source.
  • Assign an inventory owner and review cadence.
  • Require authorized approval for commercial or service changes.
